Operations Coordinator - 12 Month FTC

THE ROLE
The Operations Coordinator will assist in scaling an effective operations function within the Innovation and Legal Technology (ILT) Team, with the creation of operational and support structures to enable further growth of the team and associated products/solutions to provide the optimum client experience and service delivery.
Working closely with the Senior Manager, Operations - Innovation and Legal Technology, as well as the wider ILT leadership team, you will take a central role to help define processes and controls across the various work areas of the team, ensuring they are robust and efficient.
The Operations Coordinator must be able to develop strong relationships with ILT peers to ensure cooperation to deliver team initiatives as well as assigning and tracking tasks to peers. The Operations Coordinator will have the ability to balance the need for process and controls with flexibility and can-do attitude to make sure targets are achieved.
The successful candidate will blend organisational, administrative and task management experience with good communication skills and have a strong delivery focus. You will be passionate and motivated to drive maximum operational efficiency while ensuring we deliver the best experience possible for the team.
RESPONSIBILITIES
Day to day responsibilities include those listed below. Some of these responsibilities will be completed in collaboration with the wider ILT leadership team, and in some areas, the wider Innovation Group.
• Drive forward team initiatives such as the ILT Graduate Scheme recruitment, induction and team training
• Ensure the team adhere to ILT Worklist updates and capacity planning
• Assist with the preparation and delivery of reports
• Assist where necessary with strategic changes in the team
• Assist with operational framework build out for the go-to-market of solutions and products
• Work with pillars to improve processes and documentation
• Assist with ILT technology budget planning
• Further develop and track metrics showing the savings, ROI and value add the team brings to client matters/relationships
• Oversee that team materials are maintained and kept up to date
• Standardise and maintain internal and external facing materials including; ILT SharePoint page, ILT webpage and collaterals
• Assist with vendor management, assessing vendors and technology alongside relevant Senior Managers and reviewing vendor terms of service ensuring they are fit for purpose
• Proactively engage senior stakeholders to ensure common understanding and ownership of strategic/operational planning processes, goals and targets
• Engaging across the firm to promote legal technology and innovation proactively identifying and promoting opportunities to use technology to solve problems
KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED
• Experience in coordinator / operations type role
• Proficiency in Microsoft Office applications (Word, Excel, Outlook, and Teams) is essential, with the ability to efficiently create documents, manage spreadsheets, organise emails, and collaborate effectively online
• Quick learner with strong adaptability skills, as the role may require learning new legal technology tools for operational tasks such as reporting and team communication
• The ability to work to tight timescales with a sense of urgency, consistently demonstrating a flexible, proactive, "can-do" attitude
• Effective personal organisational and management skills when managing priorities and projects
• A high level of attention to detail
• Effective written and verbal communication skills, demonstrating an ability to communicate with colleagues at all levels
• A positive, enthusiastic, conscientious and proactive approach.
